Overview of the Loyalty Points Program

Our Loyalty Points Program is designed to help Tracks and Family Entertainment Centers (FECs) reward guests for their purchases, enhancing customer loyalty and encouraging repeat visits. Guests can accumulate points through eligible purchases, which they can then redeem for future transactions. This article provides an overview of the Loyalty Points Program and detailed instructions on configuring, using, and managing the loyalty points.

The loyalty point program comes included with your license at no extra cost.

Enabling and Configuring the Loyalty Points Program

To get started with the Loyalty Points Program, you’ll need to enable it and configure some basic settings, including point expiration.

  1. Navigate to the Loyalty Program Settings

    1. Go to Administration > Settings.

    2. In the sidebar, select Loyalty Program.

  2. Enable the Loyalty Program

    1. On the Loyalty Program settings page, locate the Enabled? switch.

    2. Toggle this switch to enable the loyalty program for your FEC.

  3. Set Up Loyalty Point Expiration

    1. If you wish for loyalty points to expire after a certain period, enable the Expire Loyalty Points? option.

    2. Configure the expiration period in days using the Expiration (in Days) field (default is 365 days, but this can be customized from 1 to 9,999 days).

    3. Note: If loyalty points expire, they will automatically become unusable after the expiration date and will no longer appear in the guest’s balance.

Awarding Loyalty Points on Purchases

You can configure loyalty points for each product so that guests earn points with every eligible purchase.

  1. Set Up Loyalty Points for Products

    1. Go to Administration > Products.

    2. When creating or editing a product, you’ll see a section titled Loyalty Program if the loyalty program is enabled.

    3. Configure the following fields:

      1. Loyalty points: Set the number of points awarded to guests when they purchase this product.

      2. Price in loyalty points: Define how many points are required for guests to purchase this product using points.

  2. Awarding Points at POS

    1. When a guest completes a purchase, loyalty points are automatically awarded based on the product’s loyalty point settings.

Redeeming Loyalty Points for Purchases

Guests can use loyalty points to pay for purchases, provided their balance is sufficient for the selected products.

  1. Payment Options for Cashiers

    1. When a guest has a loyalty point balance that meets or exceeds a product’s loyalty point cost, the Pay with Loyalty Points option will appear at checkout.

    2. If the guest’s points are insufficient for a product’s cost, the loyalty payment option will not display.

    3. As items are added or removed from the order, the eligibility to use loyalty points dynamically updates.

  2. Viewing Points Due in Order Details

    1. At checkout, both monetary and loyalty points balances are displayed for easy reference, showing cashiers the points and monetary amounts required for the transaction.

Viewing Guest Loyalty Point Balances

When guests have loyalty point activity associated to their profiles a ledger style table can be viewed on their profiles to track loyalty point activities.

  1. Accessing the Loyalty Points Tab

    1. Go to the guest’s profile and click the Loyalty Points tab.

    2. This tab displays a log of all loyalty point transactions, including:

      1. 'Date: The date of the transaction.

      2. Balance: Current points balance.

      3. Type: The loyalty point transaction type (points awarded, points redeemed, etc.).

      4. Expires in: When the points will expire for transactions where points are awarded.

      5. Receipt Number: The receipt number associated with the loyalty point transaction.

  2. Default Values for New Profiles

    1. If a guest has no loyalty point transactions, a default record is shown with a balance of 0.

Adjusting Loyalty Point Balances

When viewing the 'Loyalty Points' tab on a guest profile you can manually add or remove loyalty points.

    1. Go to the guest’s profile and click the Loyalty Points tab.

    2. This tab displays a log of all loyalty point transactions, including:

      1. Date: The date of the transaction.

      2. Balance: Current points balance.

      3. Type: The loyalty point transaction type (points awarded, points redeemed, etc.).

      4. Expires in: When the points will expire for transactions where points are awarded.

      5. Receipt Number: The receipt number associated with the loyalty point transaction.

  2. Adding Loyalty Points

    1. Tap or click on the 'Add' button in the 'Loyalty Points History' table

    2. You'll be presented with a prompt to enter the number of Loyalty Points to award, along with a note for the transaction

  3. Removing Loyalty Points

    1. Tap or click on the 'Remove' button in the 'Loyalty Points History' table

    2. You'll be presented with a prompt to enter the number of Loyalty Points to remove, along with a note for the transaction

Refunding Loyalty Point Purchases

Refunding purchases paid for with loyalty points credits points back to the guest’s loyalty balance.

  1. Processing Loyalty Point Refunds

    1. In POS > Orders, you can refund loyalty points from the Loyalty Points column.

    2. For partial refunds, select the specific items and the loyalty points associated with those items will be refunded.

    3. Loyalty point refunds will always be returned as points; they cannot be exchanged for monetary refunds.

Reporting: Loyalty Points Activity Report

You can generate a Loyalty Points Activity Report to track and audit loyalty point transactions.

  1. Accessing the Loyalty Points Report

    1. Go to Other Reports and select Loyalty Points.

    2. This report includes filters for Report Period, Customer, and Transaction Type (Purchase or Refund).

    1. The report displays three key metrics:

      1. Total Points Redeemed: Points used for purchases during the selected period.

      2. Total Points Awarded: Points earned during the selected period.

      3. Total Outstanding Points: Total unredeemed points across all guests.

  3. Report Attributes:

    1. Date & Time of each transaction.

    2. Customer Name associated with each transaction.

    3. Points Awarded, Redeemed, and Revoked.

    4. Transaction Type (Refund or Purchase).

    5. Receipt #.

    6. Additional notes (future updates may allow manual notes).

Q1: Can I adjust loyalty points manually?
Yes, you can adjust points manually by navigating to a customer's profile and viewing the 'Loyalty Points' tab. There you will have the option to manually add or remove points..
