Quick Edit Driver Names in Session Management

Learn how to quickly rename booking drivers directly in the session management screen without assigning individual clients, using the inline edit feature.

The Quick Edit Driver Names feature allows staff to rename booking drivers directly in the session management screen — without opening the full client allocation popup for each driver. When bookings arrive from the calendar, racers are created with placeholder names like "John's booking driver 1", "John's booking driver 2", etc. This feature lets you replace all those placeholder names at once with real driver names, saving significant time when you know who is driving but don't need to assign them as registered clients.

1. When to Use This Feature

This feature is designed for a common scenario at the track:

  • A customer books online for a group (e.g. 5 people).

  • The booking arrives in Session Management with placeholder names: "John's booking driver 1", "John's booking driver 2", "John's booking driver 3", etc.

  • The group arrives at the track and gives you their names — but you don't want to go through the full client registration or allocation process for each person.

  • Instead, you just want to quickly type in each person's name so the session grid, results screen, and printouts show the correct names.

Note: This feature is only available for heats that come from calendar bookings and do not yet have a registered client assigned. If a driver has already been assigned via the plus icon (client allocation), the edit button will not appear for that run and the run will remain non-editable.

2. How to Access the Quick Edit Feature

Step 1: Open Session Management

Navigate to the Session Management page and select a session that contains drivers coming from the calendar booking.

Step 2: Locate the Edit Button

Look at the driver name column for each run in the session. For runs that came from a booking and do not have a registered client assigned, you will see two icons next to the driver name:

  • Green plus icon — The existing client allocation button (assigns a registered client to the run).

  • Blue edit icon — The new quick edit button for renaming the driver.

Hover over the blue edit icon to see the tooltip: "Edit the driver name".

3. Editing Driver Names

Step 1: Activate Edit Mode

Click the blue edit icon on any booking run in the session. This will activate edit mode for the entire session:

  • A blue notification bar will appear above the table with the text "Editing driver names..." along with Save and Cancel buttons.

  • All booking runs without an assigned client will switch from displaying the driver name as text to showing an editable input field pre-filled with the current name.

  • Runs that already have a registered client assigned will remain as plain text and cannot be edited in this mode.

Tip: While edit mode is active, the session's auto-refresh is paused so your changes are not overwritten. It will resume automatically when you save or cancel.

Step 2: Edit the Names

Click into any of the input fields and type the real driver's name. Replace each placeholder name with the correct name:

You can edit as many or as few names as you need. Only the names you actually change will be saved — unchanged names will be left as they are.

Step 3: Save Your Changes

Once you have finished editing the names, you have two options:

  • Click the green "Save" button in the notification bar to save all your changes.

  • Press Enter in any input field to save all changes immediately.

While saving, the button will show a spinner with "Saving..." text. Once complete, the input fields will return to normal text display showing the new names.

Cancelling Your Changes

If you want to discard your changes and revert to the original names, click the white "Cancel" button in the notification bar. All input fields will disappear and the original driver names will be restored.

4. Important Notes

  • Only unassigned booking runs are editable — Runs that already have a registered client assigned (via the plus icon or the allocation popup) will not show the edit button and will not become editable in edit mode. Their name comes from the client's profile and cannot be changed from here.

  • Only booking/calendar runs show the edit button — Runs that were manually added or come from walk-in orders will not display the edit icon.

  • The names are saved to the run — They will appear on the session grid, race results, and any printouts generated from the session.

  • Auto-refresh is paused during editing — The session data will not refresh while you are in edit mode, ensuring your changes are not lost. Auto-refresh resumes automatically after you save or cancel.

  • You can still assign clients afterwards — Editing a driver's name does not prevent you from later assigning a registered client to the run using the plus icon. If you assign a registered client, their profile name will take priority over the manually entered name.

5. Frequently Asked Questions

I don't see the blue edit icon next to my booking runs. Why?
The edit icon only appears on runs that come from a calendar booking and do not have a registered client assigned. If all your booking runs already have clients assigned (showing the blue sync icon instead of the green plus icon), the edit button will not appear.

Can I edit the name of a run that already has a client assigned?
No. If a registered client is assigned to a run, the name displayed comes from the client's profile. To change their displayed name, you would need to edit the client's profile directly from Administration > Clients.

What happens if I press Enter while editing?
Pressing Enter in any input field will save all changes across all runs in the session — not just the field you are currently editing. This is a quick shortcut instead of clicking the Save button.

Can I edit names after the session has started?
No. The quick edit feature is only available for sessions that have not started yet (in the "Not Started" state). Once a session is in progress or finished, the edit button will not be available.

Will the edited names appear on the results screen and printouts?
Yes. The edited name is saved to the run record and will be used wherever the driver name is displayed — including the live timing screen, race results, printed grid sheets, and certificates.

I accidentally saved the wrong names. Can I undo?
There is no undo button, but you can simply click the edit icon again and correct the names. The input fields will be pre-filled with the most recently saved names.

Does this feature work for karting sessions and activity sessions?
Yes. The quick edit feature works for any session in the Session Management screen that contains booking runs with unassigned drivers, regardless of the session type.
